BuildSynq is committed to transparency about our use of artificial intelligence. This disclosure explains which features use AI, how AI influences decisions on our platform, your rights regarding automated decisions, and the limitations of our AI systems.
Our Commitment to Responsible AI
AI is central to BuildSynq's value proposition â we use it to eliminate payment delays, reduce project risk, and bring intelligence to construction management. We believe you deserve to understand exactly how these systems work and how they affect you.
BuildSynq's AI systems are powered by Anthropic's Claude models and purpose-built machine learning pipelines trained on construction industry data.
AI Features on the Platform
Photo Verification Agent
Analyzes GPS-tagged photos submitted by contractors to verify milestone completion. The system checks for location authenticity, image integrity, and visual consistency with expected milestone deliverables. Photo verification results inform â but do not automatically trigger â payment releases.
Payment Automation Agent
Monitors milestone completion signals and generates payment release recommendations. Automated payment triggers require explicit user authorization. The agent does not release funds without human confirmation unless you have explicitly enabled fully automated disbursement in your account settings.
Risk Scoring Engine
Generates numerical risk scores for projects and contractors by analyzing permit history, bid variance, contractor backlog, funding status, litigation history, and jurisdiction-specific factors. Risk scores range from 0â100. Scores above 75 trigger human review recommendations. Risk scores are advisory â final project and payment decisions remain with platform users.
Cost Intelligence Engine
Estimates project costs using historical contract data, regional labor and materials benchmarks, project type, and scope indicators. Estimates are provided as reference ranges, not guarantees. Actual costs will vary based on site conditions, contractor pricing, and market fluctuations.
Schedule Optimization Agent
Analyzes project timelines, resource availability, weather patterns, and historical completion data to suggest schedule optimizations. Schedule recommendations are advisory and do not automatically modify your project timeline.
Compliance Monitor
Continuously monitors projects for compliance with permit conditions, labor requirements (Davis-Bacon, prevailing wage), DBE/MBE targets, and regulatory deadlines. Compliance alerts are informational; BuildSynq does not provide legal advice.
Construction Intelligence Terminal (CIT)
Available to Commercial and Government tier users. CIT uses AI to extract structured data from unstructured government procurement documents, resolve entity identities across datasets, answer natural language queries about projects and contractors, and generate market intelligence reports. All CIT outputs are analytical in nature; users are responsible for verifying data before making procurement or contracting decisions.
How AI Influences Decisions
BuildSynq AI systems operate in three modes, clearly labeled in the platform:
- Advisory (âšī¸): AI provides information or recommendations; all decisions are made by humans. Most AI features operate in this mode.
- Automated with Override (âĄ): AI takes a preliminary action that you can review and reverse within a defined window. Payment recommendations use this mode when auto-disbursement is enabled.
- Fully Automated (đ¤): Only available for low-stakes actions explicitly configured by users (e.g., automated status notifications). Financial transactions are never fully automated without explicit opt-in.
Your Rights Regarding AI Decisions
Right to Explanation
You can request an explanation of any AI-generated score, recommendation, or action that affects your account.
Right to Human Review
You may request human review of any automated decision that significantly affects your payments or project status.
Right to Contest
You may contest AI-generated risk scores or compliance flags if you believe they are inaccurate.
Right to Opt Out
You may disable automated payment recommendations and AI-driven notifications in your account settings.
To exercise any of these rights, contact ai@buildsynq.com.
AI Limitations and Known Risks
We are transparent about the limitations of our AI systems:
- Data quality: AI outputs are only as good as the underlying data. Incomplete project records, stale permit data, or missing contractor history can reduce accuracy.
- Bias: Machine learning models trained on historical data may reflect historical patterns that disadvantage certain contractor groups. We actively audit our models for bias.
- Confidence levels: All AI outputs include a confidence indicator. Low-confidence outputs should be treated with additional scrutiny.
- Novel situations: AI systems perform less reliably on project types or jurisdictions with limited historical data.
- Not legal or financial advice: AI outputs on BuildSynq do not constitute legal, financial, or professional advice.
AI Provider
BuildSynq's conversational AI and document intelligence features are powered by Anthropic's Claude. Anthropic is an AI safety company. Data submitted to AI features may be processed by Anthropic in accordance with Anthropic's Privacy Policy. BuildSynq does not share personally identifiable information with AI providers beyond what is necessary to fulfill your requests.
AI Governance
BuildSynq maintains an internal AI review process that includes regular audits of model outputs for accuracy and bias, human review of high-impact automated decisions, incident response procedures for AI errors, and ongoing monitoring of applicable AI regulations including the EU AI Act and emerging U.S. federal AI guidelines for government contractors.
